Save the date messages, and when to actually send them
Timing first, because that is what couples get wrong. Then messages for destination weddings, guests flying in, and the announcement you send before the date is locked.

Most Indian couples do not need a save the date. That is an odd thing to say at the top of an article full of them, but the honest version is more useful than the one that sells you two designs instead of one.
The save the date comes from a tradition where guests fly in for a single afternoon and need a year of notice. An Indian wedding runs three to five days, the family has known since the roka, and the invitation goes out weeks ahead anyway. For a lot of guest lists it is just a second thing to design, send, and get wrong.
Who actually needs a save the date
The test is money and permission. A save the date earns its place when a guest has to spend something or ask someone before they can say yes.
In practice that means guests flying in, guests who need a hotel room in a town that fills up, anyone applying for a visa, and colleagues who have to put leave through a system. It also covers weddings in the busy winter stretch, when your friends are quietly choosing between three weddings on the same weekend and the first one to ask usually wins.
Who does not
If your guests live within driving distance, or they are family who have known since the date was fixed, or your invitation is going out six weeks ahead anyway, it adds nothing. Send the invitation earlier instead. One good message beats two thin ones.
A save the date is not a shorter invitation
When to send a save the date
| Your situation | Save the date | Invitation |
|---|---|---|
| Guests in the same city | Skip it | 4 to 6 weeks ahead |
| Guests travelling within India | 2 to 3 months ahead | 4 to 6 weeks ahead |
| Destination wedding in India | 4 to 6 months ahead | 6 to 8 weeks ahead |
| Guests flying from abroad | 6 months or more | As soon as the programme is fixed |
| Wedding in the busy winter run | Earlier than feels necessary | 6 to 8 weeks ahead |
| Date not confirmed yet | Send the month, not the date | When the muhurat is fixed |
Be aggressive about the visa case. You do not control that queue and neither does your guest. Somebody who has to get an appointment before they can book a flight needs months of notice, and a vague message about a wedding sometime in November will not start an application.
The rest of the calendar works backwards from the date in the same way, and the wedding invitation timeline sets out when each piece has to leave your hands.
The standard save the date

We are happy to share that [Name]'s wedding has been fixed for [date] in [city]. Do keep the dates aside for us. The invitation will reach you soon: [link]
Putting this in your calendar for you: [date], [city]. Three days, you are invited to all of it, do not book anything else that weekend: [link]
Save [date] to [date]. Wedding is in [city] and the functions run across all three days. Details and travel information are on this page, which we will keep updating: [link]
Destination weddings
Here it does real work, and it needs one thing the standard version does not: some hint of what this will cost the guest. Enough that nobody books a flight before learning rooms are covered, or arrives assuming they are when they are not.
We are getting married in [place] on [date]. Rooms are on us for the three nights, so you only need to sort your travel. Save the dates and we will send the rest soon: [link]
[Date] to [date], in [place]. We have held rooms at [hotel] at a group rate and will send the booking details next month. Blocking your travel early will save you a lot: [link]
We are having a small wedding in [place] on [date], about [number] people. You are one of them. Please tell us early if you can come, so we can plan around it: [link]
A destination wedding usually means a shorter list and a harder one, and building the guest list across the functions is the decision everything else follows from.
Guests flying from abroad
Our wedding is on [date] in [city]. Sending this early so you have time for flights and leave. If you need an invitation letter or any document for a visa, tell me now and I will send it: [link]
[Name]'s wedding is on [date] in [city]. We know it is a long way and we want you here, so please start your planning now. Everything we know so far is on this page: [link]
Wedding is [date] in [city], with functions from [date]. If you are flying in, plan to land at least a day earlier. All dates on this page are IST: [link]
Before the date is locked
Most couples do not know they are allowed to send this one, and it is usually the better message. The muhurat is not fixed, the venue is still being argued over, and the guests who need the most notice get nothing while you wait for certainty.
Send the month. People can block leave around a month, and you avoid the far worse move of announcing a date and then shifting it, which costs some of your guests real money.
These three go out as plain messages with no link on them, because an invitation page cannot be published until the wedding date itself is settled. The link follows the moment it is. If you are still waiting on the panchang, the shubh vivah muhurat dates will tell you which windows you are choosing between.
Some news. We are getting married in [month], in [city]. The exact date is still being fixed and we will send it as soon as we have it. If you need to plan leave or flights, plan around that week.
Telling you before anyone else because you have the longest way to come. Wedding is in [month], in [city]. Date is not final yet. Start looking at flights, I will confirm within [weeks].
We got engaged. Wedding is planned for [month] in [city], date to follow. Wanted you to hear it from us rather than from a group.
The second one, closer to the time
One reminder, sent only to the people who have not confirmed, and give it a reason. A reminder without one is nagging, while a reminder with a deadline attached gets answered.
Reminder that our wedding is [date] in [city]. We are booking rooms next week and need a rough count, so tell us now if you are coming, even a maybe: [link]
[Date] is getting close and flight prices are not getting better. If you are coming, book this week. Everything you need is on the link: [link]

Save the date message in Hinglish
Date fix ho gayi. [Date], [city]. Abhi bas itna, calendar pe mark kar lo. Poora invite baad mein aayega: [link]
Save kar lo: [date], [city]. Flight jaldi book kar lena, season mein rate badh jaate hain. Baaki details aati rahengi: [link]

The same voice carries into the invitation itself a few months later, and there are longer WhatsApp wedding invitation messages written for that stage.
When the date changes
Do not announce this in a group and hope
The wedding has moved to [new date], in [city]. Everything else stays the same. Sorry for the change, please update your bookings and tell me if this creates a problem: [link]
[Name], the date has moved to [new date]. I know you had already booked. Send me what it costs you to change and let us sort it out, I am not letting you absorb that: [link]

Use the same link for both
The strongest argument against a save the date is that it is a second artefact. That collapses if the save the date and the invitation are the same page at two stages.
What a page needs before it can go live is smaller than most couples expect: both your names, your parents' names on each side, the wedding date, one function with a name on it, and the address you want the link to use. Venues can stay blank. So can the dates of the individual functions, because a hall is often booked long before the panchang settles the day.
Then keep filling it in. The venue when the booking is confirmed, the rest of the functions as the muhurat fixes them, the photos after the shoot. Guests who saved the first link find the finished invitation at the same address, and you never send a correction to three hundred people.
One limit worth planning around. The wedding date can be at most ten months ahead on the day you publish, because the published link stays live for a year and we would rather it outlast the wedding than expire the week after it. If your date sits further out than that, send the message now and publish the page once you are inside the window.
Questions people ask
Do we actually need a save the date?
Only if a guest has to spend money or ask permission to attend. Flights, hotel bookings, visa appointments and office leave are the real reasons. If your guests will mostly drive over on the day, skip it and put that effort into the invitation.
How early should a save the date go out?
Two to three months for guests travelling within India, four to six months for a destination wedding, and six months or more for anyone applying for a visa. Send earlier if the wedding falls in the busy winter run of dates, because the same guests are being asked to two other weddings that weekend.
Can we send a save the date before the muhurat is fixed?
As a message, yes, and it is often the more useful one. Name the month, name the city, and say the exact date is coming, so guests who need to plan can start blocking leave. The page is a different matter: an invitation cannot be published until the wedding date itself is settled, so the month only version goes out as plain text and the link follows once the muhurat is fixed.
What should a save the date include?
The names, the date or the month, the city, and one line saying an invitation will follow. That last line is the one people skip, and without it a good number of guests will assume the save the date was the invitation and wait for nothing.
Is it fine to send a save the date on WhatsApp?
For most guests, yes. For the elders whose blessing matters to your parents, a phone call from your parents does the job better than any message. Send both to that group: the call first, the link after.
What if the date changes after we have sent it?
Message every person individually rather than posting in a group, and lead with the new date instead of an apology. If yours was a link rather than an image, update the page too, because guests go back to the link before they scroll up a chat.
